Learn how to cancel events and manage cancellations in reserVie. This guide covers cancelling individual event dates, notifying registered clients, and understanding the impact on bookings.

Introduction

There may be occasions where you need to cancel an event or specific event dates. reserVie provides the tools to manage cancellations efficiently, ensuring that registered clients are notified and bookings are handled appropriately.

Cancelling an event date

To cancel a specific date of an event, follow these steps:

Step 1: Log in to your reservie account

To log into your reservie account click https://go.reservie.net/

Step 2: Access the events manager

Using the left-hand menu, click ‘Events > Course view’ or ‘Events > Daily view’ to access the events manager.

Step 3: Locate the event

Find the event that you wish to cancel. In course view, click the ‘info’ button to view the event details and associated dates.

Step 4: Cancel the event date

Select the specific date you wish to cancel and use the cancellation option to cancel the event date.

What happens when an event is cancelled

When an event date is cancelled, the following actions are triggered:

  • Client notifications - if event cancellation notifications are enabled, all registered clients will receive an email notification informing them that their event has been cancelled.
  • Space release - all spaces associated with the cancelled date are released.
  • Waiting list - if a waiting list is active, clients on the waiting list will not be notified of cancellation since the event date is no longer available.

Cancellation policies

reserVie supports configurable cancellation policies that control whether clients can self-cancel their bookings. These policies can be configured separately for:

  • Credit / debit card bookings
  • Pass bookings

Each policy allows you to define:

  • Whether self-cancellation is enabled or disabled
  • The cut-off time (in hours before the event) for self-cancellation

To configure cancellation policies, navigate to Settings > Cancellation Policies in the management system.

Refunds

When cancelling events where clients have paid by credit or debit card, refunds may need to be processed. Refunds can be managed through your Stripe dashboard. For further information on processing refunds, please contact our support team.
