Managing schedule registrations

Learn how to manage registrations for events published through your reserVie schedule. Access registers, view participants, track attendance and handle bookings for scheduled classes.

Introduction

When events are published via a reserVie schedule and clients book into them, the registrations are managed in the same way as standard events. Each event date within a schedule has its own register, providing a definitive list of clients that are registered for that class.

Viewing registrations for scheduled events

To view registrations for events that are published through your schedule:

Step 1: Log in to your reservie account

To log into your reservie account click https://go.reservie.net/

Step 2: Access the events manager

Using the left-hand menu, click ‘Events > Course view’ or ‘Events > Daily view’ to access the events manager.

Step 3: Locate the scheduled event

Events that are published via a schedule are accessible through the events manager just like any other event. Locate the event and click the ‘info’ button to view its details.

Step 4: View the register

Select the specific date and click the ‘view register’ button to see all registered participants.

Managing participants

The event register allows you to:

  • View registered clients - see all clients who have booked into the event date.
  • Contact participants - reach out to registered clients directly from the register.
  • Track attendance - mark clients as attended or not attended for record-keeping purposes.
  • Add clients manually - book clients into the event directly via the register using cash, pass credits, or stored credit/debit cards.

Schedule-specific considerations

When managing registrations for scheduled events, keep the following in mind:

  • Recurring events - each occurrence of a recurring event has its own independent register. Managing one date does not affect other dates.
  • Capacity management - the number of spaces available is defined when creating the event. The schedule widget will automatically display availability status to clients.
  • Waiting lists - if enabled during event setup, clients can join a waiting list when an event date is fully booked. They will be notified automatically when a space becomes available.
  • Pass redemption - if the event supports pass payments, clients can redeem their pass credits when booking through the schedule.

Notifications

reserVie can automatically send notifications to clients for the following events:

  • Purchase confirmation - sent when a client books into an event.
  • Event reminder - sent 2 hours before the event commences.
  • Cancellation notification - sent if a client’s space is cancelled.
  • Waiting list notification - sent when a space becomes available on a previously full event.

Notification settings are configured during event setup and can be modified via the event edit functionality.
